The Challenge
What the client was up against
The institution tracked students and fees on paper and in spreadsheets across multiple branches. Reconciling what had been collected against what was owed took days, receipts were handwritten, and administrators at head office had no live view into any individual branch.
Our Approach
How we solved it
One record per student, everywhere
We built a single student information system that every branch writes into, with role-based access so branch staff see their own students while head office sees the whole network. Reconciliation stopped being a merge of conflicting spreadsheets.
Make the money flow auditable
Fee structures, payments, and outstanding balances became first-class records. Invoices and receipts generate automatically from the payment record itself, so the document and the ledger can never disagree.
Meet users where they are
Staff had wildly different levels of technical comfort, so we supported several sign-in methods rather than forcing one. Removing the login barrier turned out to matter more for adoption than any feature we shipped.
